    We would like everyone to have an enjoyable and welcoming experience at The Art Club. The following terms help us keep our classes, workshops and events running smoothly. By making a booking with us, you agree to the terms below.

    Term Courses & Classes

    Registration Forms

    We ask all Adults and Children attending a term course to complete the relevant registration form before attending.

    For Children, we must have a completed form before their first class, including emergency contact details and any relevant medical, allergy or additional support information.

    Cancellations & Missed Classes

    If you need to cancel your place, please let us know as early as possible. Up until one month before the course begins, we can offer a refund or move your booking to another available course.

    Within one month of the course starting, we will do our best to refill your place. If we are able to do so, we can offer a refund or, where possible, move your booking to another course.

    Once the course has started, unfortunately we are unable to offer refunds, transfers or replacement sessions for missed classes.

    Changes to Classes

    If we need to cancel or reschedule a class, we will arrange a replacement session on the most suitable available date. Occasionally this may fall outside the advertised term dates.

    We may also need to make reasonable changes to tutors, activities or course content during the term.

    Arriving at the Studio

    To give our tutors time to prepare the studio, please arrive no more than 5 minutes before your class or workshop is due to begin.

    For Children’s classes, please make sure children are collected promptly at the stated finish time and let us know of any changes to collection arrangements.

    Artwork & Belongings

    Please be prepared to take all artwork home following your final class. Due to limited storage space, we are unable to store artwork after the end of term.

    If you are unable to collect your work, please contact us in advance so that alternative collection arrangements can be agreed. We cannot guarantee that artwork left at the studio without prior arrangement can be kept after 30 days.

    Please take care of personal belongings while at the studio. The Art Club cannot accept responsibility for belongings that are lost, damaged or left behind, except where caused by our negligence.

    Additional Support & Access Needs

    The Art Club is a small independent teaching studio and does not provide specialist care or one-to-one support. If you or your child has additional support or access needs, please contact us before booking so we can discuss any reasonable adjustments and how we may be able to support participation within our studio and staffing arrangements.

    We will keep arrangements under review, as needs and circumstances can change. If any concerns arise, we will discuss these with you and consider whether further reasonable adjustments can be made.

    If, after considering reasonable adjustments, we are unable to safely and appropriately support continued participation within our studio and staffing arrangements, we may need to end the booking or place.

    Children’s Classes & Holiday Weeks

    Before your child joins us, please make sure we have received their completed registration form with accurate emergency contact details and any relevant medical, allergy or additional support information.

    For Holiday Weeks, children should bring a packed lunch, drinks and snacks as required. Please do not bring products containing nuts and make sure any allergies are included on the registration form.

    Please make sure children wear suitable clothing for art activities, as some materials may stain. Where appropriate, please also provide suitable outdoor clothing such as waterproofs or a sunhat depending on the weather.

    If a child becomes unwell or there is an emergency, we will contact their parent, carer or emergency contact and seek appropriate assistance where necessary.

    Holiday Week Cancellations

    Up until one month before the Holiday Week begins, we can offer a refund or move your booking to another available Holiday Week.

    Within one month, we will do our best to refill your child’s place. If we are able to do so, we can offer a refund or, where possible, move the booking to another Holiday Week.

    Workshops

    We understand that plans can sometimes change. If you need to cancel or move your workshop booking, please let us know as early as possible.

    Up until one month before the workshop, we can offer a refund or move your booking to another available workshop.

    Within one month, we will do our best to refill your place or, where possible, move your booking to another suitable date. If we are able to refill your place, we can offer a refund.

    Paint & Wine

    If you need to cancel or move your Paint & Wine booking, please let us know as early as possible.

    With at least two weeks’ notice, we can offer a refund or move your booking to another available Paint & Wine date.

    With less than two weeks’ notice, unfortunately we are unable to offer a refund or move your booking.

    Paint & Wine events are for guests aged 18 and over.

    Private, Hen & Corporate Events

    A 50% booking payment is required to secure your event date. The remaining 50% is due one month before the event, when final guest numbers should also be confirmed.

    Our standard private event capacity is a minimum of 8 and maximum of 22 guests, with a minimum charge for 8.

    Once final numbers have been confirmed, reductions in numbers will not reduce the amount due. If you would like to add guests after this point, please contact us and we will do our best to accommodate them where space allows.

    If you need to cancel more than one month before your event, please contact us as soon as possible. We will take into account any costs already incurred and whether we are able to refill the date when arranging any refund.

    Cancellations within one month of the event are non-refundable.

    The person making the booking is responsible for their group. We may charge for any damage to the studio, equipment or property caused by members of the group, excluding reasonable wear and tear.

    Gift Vouchers

    Gift vouchers are valid for one year from the date of purchase and must be used within this period.

    Vouchers are issued using the bookers name. If you would like to transfer a voucher to someone else, please contact us in advance.

    Gift vouchers cannot be exchanged for cash.

    Photography

    Photographs may occasionally be taken during classes, workshops and events for use on The Art Club’s website, social media and promotional materials.

    If you or your child do not wish to be photographed, please let us know before attending or speak to a member of The Art Club team.

    Studio Conduct & Safety

    We would like The Art Club to be a welcoming and safe environment for everyone. We reserve the right to ask anyone whose behaviour is unsafe, seriously disruptive or inappropriate to leave a class or event.

    Where this concerns a child, their parent, carer or emergency contact will be contacted.

    Communication

    All booking, payment, cancellation and class enquiries should be made directly with The Art Club using the email address or telephone number provided on our website.

    Please do not make booking arrangements or changes directly with tutors, as they are unable to manage bookings, cancellations or changes on behalf of The Art Club.

    These terms do not affect your statutory rights.
